PLANNING PROCESS

Identify an adventure, place or desired vacation experience. Initial brainstorming is great fun. Think about your ideal adventure, regardless of time, expense or other variables. You'll pare it down as you work through it, eventually arriving at something manageable and within your budget.

Use a notebook, Excel spreadsheet or other tracking mechanism to record your research.

  • We use Excel  and create one workbook/trip with multiple tabs for Transportation, Accommodations, Top Experiences, and Draft/FINAL Itinerary.

  • We add new tabs if its a multi-segment adventure, such as our 5-day Inca Trail hike and 3-day Andean Explorer train excursion - all part of our Peru travel.

During the research phase, record the date and note prices for hotels, and airfare. Set trackers in the various travel apps to identify if aspects of your trip vary in price over time (e.g., Kayak has a price tracker).

Rely heavily on those who've done this before, or are professional planners. There are so many great websites and blogs that exist - take advantage of their insight!

Be open to new possibilities and changes in your itinerary.  Every new data point has the opportunity to send your planning in a different direction. Enjoy the process.

When you've arrived at what feels like a good draft, sit with it for a few days. Share your ideas and plans with friends or family and see if they have feedback.

When you're confident your draft trip itinerary is perfect, book as many of the hotels, experiences and accommodations as are possible. Consider bookings that are refundable up to five days in advance of your arrival.
